British College of Education provides educational and training services. Because places in courses, classes, teaching resources and administrative arrangements are allocated to students upon registration, course fees are generally non-refundable once a course has commenced.
Students are therefore strongly advised to carefully consider their course selection, schedule and personal circumstances before completing registration and payment.
1. Registration Fee
The Registration Fee is a non-refundable deposit.
Once paid, the Registration Fee will not be refunded, regardless of whether the student subsequently decides not to commence or continue the programme.
The Registration Fee is separate from the course fee and is intended to cover administrative and registration-related processes.
2. General No-Refund Policy
Course fees are non-refundable once the course has commenced.
Once a student has started attending a course, no refund request will normally be accepted, including requests arising from:

Change of personal plans

Change of employment
-
Change of preferred course
-
Change of schedule
-
Failure to attend classes
-
Personal commitments

Relocation within Sri Lanka

Loss of interest in the programme

Failure to complete the course

Failure to attend examinations or assessments
Absence from classes does not create an entitlement to a refund.
3. Refund Request Within 24 Hours of Registration
In exceptional circumstances, a student may request a refund of the applicable course fee within 24 hours of registration/payment.
A refund is not automatic merely because the request is made within 24 hours.
The request must be based on a genuine and reasonable circumstance, such as:

Immediate migration or relocation overseas

A serious and unavoidable personal circumstance

Another valid circumstance accepted by the management
The student must provide valid supporting documentary evidence together with the refund request.
Examples of supporting documents may include:

Migration or visa documentation

Travel or relocation documentation

Official employment or transfer documentation

Relevant official letters
-
Other documents reasonably required by the college to verify the circumstances
Refund requests without valid supporting documentation will not be considered.
4. Refund After the Course Has Commenced
Once the course has commenced, the course fee is non-refundable.
This applies even where a student:

Has attended only a small number of classes
-
Decides to discontinue the programme
-
Is unable to attend future classes
-
Changes personal plans
-
Moves to another location
-
Changes employment
-
Decides to pursue another course or institution
The allocation of teaching resources, classroom capacity, administrative services and other educational resources means that fees cannot ordinarily be refunded after commencement.
5. Special Cases on Humanitarian Grounds
In genuinely exceptional circumstances, the management of British College of Education may consider a refund request on humanitarian grounds.
Such consideration is entirely at the discretion of management and does not create an automatic right to a refund.
Examples may include exceptional circumstances that are serious, unavoidable and supported by appropriate documentation.
Each request will be assessed individually based on the circumstances and evidence provided.
Decision Period
Where a special-case refund request is accepted for consideration, the management decision may take up to 90 days from the date the college receives the complete request and required supporting documentation.
Students should therefore not assume that submitting a special-case request means that a refund will be approved.
6. Introducing a Replacement Student
Where management determines that a special-case refund may be considered, the student may be permitted to introduce another eligible student to take their place, subject to the college’s approval and applicable admission requirements.
The replacement student must:

Meet the applicable entry requirements.

Complete the required admission process.

Be accepted by British College of Education.

Make the applicable payments and registration arrangements.
Introducing another student does not automatically guarantee a refund.
Any refund remains subject to management approval and the applicable administrative deductions.
7. Administrative Fee Deduction
Where a refund is approved under an exceptional or special-case arrangement, British College of Education may deduct an administrative fee from the refundable amount.
The administrative deduction may cover costs associated with:

Application and registration processing

Administrative work

Payment processing

Student record management
-
Course allocation
-
Other reasonable administrative expenses
The final refundable amount will be determined by management after considering the circumstances of the case.
The Registration Fee remains non-refundable and will not be included in any approved refund unless management expressly determines otherwise in exceptional circumstances.
8. Course Transfer or Change
A request to transfer from one course to another is not automatically guaranteed.
Any course transfer, change of programme or transfer of fees will be considered according to the applicable course conditions and the decision of management.
Students should contact the administration before the course commences if they wish to discuss a possible course change.
9. Instalment Payments
Where a course is paid through instalments, the refund policy applies to the programme as a whole.
An instalment payment does not create a separate right to cancel or obtain a refund.
Once the course has commenced, unpaid instalments remain payable according to the agreed payment arrangement unless otherwise determined by management.
10. Examination Fees & External Charges
Examination fees, certification fees, registration charges payable to external organisations, and other third-party charges may be subject to the rules of the relevant examination or awarding organisation.
Such fees may be non-refundable once registration or processing has taken place.
Where an external organisation controls a fee or registration, British College of Education cannot guarantee a refund outside that organisation’s applicable rules.
11. Course Materials & Resources
Where course materials, books, learning resources or other items have already been issued, supplied or specifically allocated to a student, their cost may not be refundable.
Where applicable, any approved refund may take into account materials or resources already provided.
12. How to Request a Refund
All refund requests must be submitted to the college administration in writing.
The request should include:

The college may request additional information or documentation where necessary.
Incomplete requests or requests without required supporting documentation may not be considered.
13. Refund Assessment
Submission of a refund request does not constitute approval.
British College of Education reserves the right to review the circumstances, supporting documents and applicable course conditions before making a decision.
Management’s decision regarding exceptional refund requests will be communicated to the student after the review process.

By registering for a course or making a payment, the student acknowledges that they have read, understood and accepted this Refund & Cancellation Policy.
Students are encouraged to carefully consider their circumstances and course commitment before completing registration.
British College of Education reserves the right to review and update this policy when necessary. The latest version published on the official website will apply from its stated effective date.
